Description
1. Contract Administration (50%)
- Prepare and vet the Division’s and counterparties’ contracts in accordance with concluded deal
parameters. - Liaise between traders, operations, and legal dept on contract status, terms and contract issues.
- Responsible for ensuring that shipments and vessels are executed smoothly according to
contractual terms. - Be the primary interface between the Division and counterparties’ contract negotiation and/or
operations team. - To propose and negotiate contractual terms, under the guidance of traders to maximize
beneficial outcomes for the Division, balancing client satisfaction and firm objectives. - Issue, monitor, and manage shipping instructions, vessel nominations and related matters.
- Monitor and help to ensure the smooth execution of all matters related to letter of credit and
insurance documentation. - Calculate and monitor demurrage, claims, and other charges as per contract and C/P (Charter
party) to avoid /minimize demurrage and/or settle payment with owners/shippers / receivers. - Manage and coordinate customer/supplier payment terms to ensure timely collection and
payment in compliance with contractual terms/conditions. - Liaise with traders on open positions, vessels’ loading, and other issues pertaining to trading
risks. - Coordinate vessel execution with supplier/buyer/port operations and supervision
companies.
2. Compliance and Trade Support (35%)
- Ensure that contract memos and physical deal recaps are reported accurately and in a timely
fashion to relevant internal stakeholders. - Maintain and monitor credit limit database for counterparties and apply for credit limits
when required. - Perform daily reconciliation of trades with Market Risk / Middle Office to ensure that physical
trading positions are represented accurately. - Ensure that month-end transactions and other internal processes are completed in a timely
manner. - To maintain and enhance reporting tools for trade monitoring and trade-related activities.
- Provide support for systems and processes by working in collaboration with
relevant stakeholders for the betterment of the division’s and firm’s trading activities.
3. Others (15%)
- Assist in preparing and maintaining trade-related spreadsheets and data to support the Division’s activities.
- Proactively foresee and highlight the opportunities and risk/exposure.
- Any other administrative task as given by the manager from time to time.
KNOWLEDGE, SKILLS, AND ABILITIES
- At least 2 years of contract management experience in dry bulk, preferably in Iron Ore trading.
- Degree in trade, management, international business or quantitative-related field.
- Knowledge of Incoterms and International trade (such as document flow, physical trading controls, etc.) ; be able to apply in daily operations when required.
- Good knowledge of Letter of Credit under UCP 600 & ISBP.
- Knowledge of shipping practices e.g. C/P terms and its relation to sales/purchase of
contracts, laytime calculations, C/P B/L requirements, etc including insurance classifications. - Knowledge of L/C terms and conditions preferred and able to prepare a full set of shipping
documents in accordance with L/C and contractual requirements. - Ability to identify and solve day-to-day problems independently.
